Short answer
A print-ready file uses the confirmed finished size, includes the required bleed and safe area, contains suitable images and fonts, follows the requested colour setup and has been reopened and checked after export. Final requirements depend on the selected product.
Checklist
Confirm the finished dimensions
Write the width, height and unit. For displays, confirm whether the measurement describes the graphic, visible area or complete stand.
Add bleed and protect the safe area
Backgrounds that reach the edge must extend beyond the trim. Keep names, logos, QR codes and telephone numbers inside the safe area. Ask for the product template instead of guessing.
Check image quality
An image copied from a website or messaging app may not contain enough detail. Use the highest-quality original and judge resolution at the final printed size.
Prepare logos and fonts
Vector logos can be resized cleanly. Embed fonts in the exported PDF where permitted or outline final display text while retaining an editable source file.
Use the requested colour setup
Printed colour and screen colour are produced differently. Supply approved brand references for colour-critical work and discuss whether a physical proof is needed.
Review transparency and fine detail
Inspect thin lines, small reverse text, shadows, transparency and QR codes. Complex effects can change during export or processing.
Organise pages and sides
Identify front, back and page order. For folded pieces, confirm whether individual pages or imposed panels are required.
Export and reopen the final PDF
Do not approve a file only inside the design application. Reopen the exported PDF and check size, page count, text, images and clipping.
